Refund and Cancellation Policy

 

1. General Principles

This policy regulates the cancellation and refund conditions applicable to initial consultations, one-time workshops, and term/package programs offered by State Studio.

Workshop fees are collected in cash after the in-person meeting, following the initial consultation, if the family decides to participate in the program. Online payment is not accepted. Therefore, the provisions of the Consumer Protection Law No. 6502 regarding distance contracts and the right of withdrawal do not apply to this process.

This policy becomes valid after the family has made the decision to participate in the workshop.

 

2. Initial Consultation

Initial consultations are short introductory and informational meetings conducted by phone. The purpose of the consultation is to:

Inform the family about the structure and content of the workshop

Listen to the family’s expectations and questions

Evaluate the child’s suitability for the workshop together

The initial consultation is free of charge and does not create any obligation for either party to participate. At the end of the consultation, either the family or State Studio may decide that the workshop process is not suitable; in this case, no fee or compensation is due.

The time of the consultation is determined together with the family. If rescheduling is necessary, either party informs the other within a reasonable period of time.

 

3. One-Time Workshop Participation

The following conditions apply to one-time workshops.

 

3.1. Cancellation by the family

Up to 7 days before the workshop starts: the full amount paid is refunded.

3–6 days before the workshop starts: 50% of the amount paid is refunded.

Less than 72 hours before the workshop starts: no refund is issued; however, the family may request that another participant use the reserved spot instead.

 

3.2. Cancellation by State Studio

State Studio reserves the right to cancel a workshop due to force majeure or if the minimum number of participants is not reached. In this case:

The full amount paid is refunded to the family, or

If the family wishes, the paid amount may be used for a workshop on another date.

 

4. Term / Package Programs

The following conditions apply to multi-session programs such as Echo, the 12-week adolescent program; Emotion Heroes, the 10-week children’s program; and similar programs.

 

4.1. Cancellation by the family — before the program starts

Up to 14 days before the program starts: the full amount paid is refunded.

7–13 days before the program starts: 75% of the amount paid is refunded.

3–6 days before the program starts: 50% of the amount paid is refunded.

Less than 72 hours before the program starts: no refund is issued.

 

4.2. Cancellation by the family — after the program has started

For cancellations made after the program has started, the following rules apply:

The fee for the sessions already attended is calculated based on the single-session unit fee of the program and deducted from the total amount.

70% of the remaining amount is refunded to the family; 30% remains with State Studio to cover the content planning and reserved capacity costs of the full program.

For cancellations made after half of the program has been completed, no refund is issued. However, the family may transfer the remaining sessions to another child within the family, provided that the child is in the appropriate age group, or to the next term program.

Absences during the program do not create a separate right to a refund or make-up session. However, if the family gives prior notice, a make-up session may be planned where possible.

 

4.3. Cancellation by State Studio

If the program is terminated by State Studio due to reasons such as the facilitator’s long-term health issue, force majeure, or similar circumstances, the family will be offered two options:

The fee for the unattended sessions will be refunded in full.

The paid amount will be transferred to the next term program.

 

5. In Case the Child Is Not Suited to the Workshop

Due to the nature of the workshop, in some cases it may become apparent that the child is not ready to work in a group setting or may need individual support. In this case:

The family is informed after the session in which the situation is evaluated.

If it is deemed unsuitable for the child to continue the program, the fee for the remaining sessions is refunded within the framework of the term program rules stated in Article 4.2.

The family is offered a referral recommendation to an appropriate specialist.

 

6. Payment and Documentation

Workshop fees are collected in cash after the initial consultation, at or before the start of the workshop. The family is provided with a written document/receipt confirming that the payment has been made.

The workshop fee and payment method, whether full payment or installment payment, are clarified during the initial consultation and recorded with mutual written confirmation.

 

7. Force Majeure

Natural disasters, epidemics, decisions made by official authorities, transportation disruptions, and similar events beyond the reasonable control of State Studio are considered force majeure. For workshops cancelled due to force majeure:

A make-up date is offered to the family, or

The amount paid is refunded according to the family’s preference.

 

8. Refund Process

The following process applies to approved refund requests:

Refund requests must be submitted in writing to hello@statestudioart.com.

The request will be evaluated within 3 business days from the date of receipt.

Approved refunds will be transferred within 7 business days, either in cash or by bank transfer to the account preferred by the family.

10. Amendments

This policy may be updated in line with changes in the scope of services or legal regulations. The most up-to-date version of the policy can always be accessed through our website. For payments made before the policy is updated, the policy in effect on the date of payment will apply.

Important note: This policy has been prepared for the cash payment period. If online payment methods such as credit card, virtual POS, iyzico, or similar systems are introduced, the policy will be updated in accordance with the provisions of the Distance Contracts Regulation.
